QUALIFICATIONS:
1.
Hold a high school diploma or equivalent.
2.
Knowledge of how to operate basic office equipment such as adding machine, fax machine, scanner, multi-function copier, multi-line telephone system.
3.
Have satisfactorily passed a criminal background check, and adult and child maltreatment registry checks.
Criminal background and adult maltreatment checks must be repeated every five (5) years, and child maltreatment checks must be repeated every two (2) years.
4.
Have completed a drug screen in accordance with the organization’s policies and procedures.
Documentation shall be maintained for review by licensing and other external entities (such as external commercial insurance entity).
5.
Successfully complete agency training and continuing education.
6.
Must possess excellent written and verbal communication and organizational skills.
Have an eye for detail.
7.
Must have reliable transportation and proof automobile insurance.
8.
Must maintain strictest confidentiality in all matters, materials, work duties encountered, shared and related to your position.
Must maintain HIPAA compliance in all interactions and work completed.
PHYSICAL REQUIREMENTS
1.
Ability to lift 25 lbs.
2.
Ability to stand 3-4 hours.
3.
Ability to sit 6-7 hours.
4.
Ability to view monitor 6-7 hours.
GENERAL RESPONSIBLITIES:
1.
Admit to agency office lobby and greet all employees, members, employee’s guests and visitors to the administrative offices of our 18th Street location.
2.
Notify relevant employees when visitors arrive.
3.
Answer visitors’ calls, questions, and email and provide them with the relevant information.
4.
Answer, screen, and forward all incoming phone calls as directed.
Verify office personnel is present before transferring the call.
Let the caller know you are transferring them to the staff member’s voice mail if the staff member is out of the office or unable to take the call.
Take messages and email them to the recipient as needed, or as requested by the caller.
5.
Provide basic and accurate information in-person and via phone/email.
6.
Water all plants in the lobby and any common area within the office.
7.
Organize the reception area while complying with office procedures, rules, and regulations.
8.
Receives mail, documents, courier deliveries, and delivers or distributes items.
Signs for deliveries and ensure all mail and packages are distributed accordingly.
9.
Performs administrative and clerical support tasks.
10.
From time to time, your supervisor may ask you to assist in special projects and assist key personnel in the office with some limited assistance related to your job description’s general responsibilities.
11.
All other appropriate duties as assigned by supervisor.
*Monday through Thursday 9:00 AM to 5:00 PM.
9:00 AM to 4:00 PM Friday*
