*Overview:*
We are looking for a responsible, initiative-taking Administrative Assistant to perform a variety of administrative and clerical tasks in our newly opened location.
Duties of the Administrative Assistant include providing support to our corporate office, managers, and employees while assisting in the daily office needs.
The ideal candidate will also be managing our company’s general administrative activities within the location.
Administrative Assistant responsibilities include but are not limited to requesting travel arrangements, scheduling meetings, preparing reports, daily data entry for purchases and billing as well as maintaining appropriate filing systems.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
If you have previous experience as a secretary or executive administrative assistant and are familiar with our industry, we would like to meet you.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
*Responsibilities:*
* Answer and direct phone calls.
* Organize and schedule appointments when needed.
* Write and distribute email, correspondence memos, letters, faxes, and forms.
* Assist in the preparation of regularly scheduled reports.
* Develop and maintain a filing system in accordance with DES guidelines.
* Openness to office policies, procedures, and possess willingness to follow all policies and procedures in place.
* Order office supplies, shop supplies and other tooling requirements through requisitions in our ERP system.
* Maintain up to date records on location specific reporting requirements.
* Submit and reconcile expense reports.
* Provide widespread support to visitors and/or customers.
* Function as the point of contact for internal and external customer base.
* Consult with DES' employee base to manage requests and queries from senior managers and/or our corporate office.
*Requirements:*
* Proven and verifiable experience as an administrative assistant or office admin assistant.
* Knowledge of office management systems and procedures.
* Working knowledge of office equipment, such as computers, phones, printers, and fax machines.
* Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
* Excellent time management skills and the ability to prioritize work.
* Driven and initiative-taking individual.
* Diligence and critical thinking skills.
* Excellent written and verbal communication skills.
* Strong organizational skills with the ability to multi-task.
* High School diploma or equivalent (GED); additional qualification as an administrative assistant or secretary will be a plus.
* Reliable transportation necessary.
* Available to work Monday through Friday from 8:00am to 5:00pm.

* Must pass criminal history background screening.
