*POSITION OVERVIEW - ASSISTANT PROPERTY MANAGER - GARDENWALK OF TAHLEQUAH*
Maintains and coordinates the management of an apartment community for the owners as directed by the Resident Manager by performing the essential duties and responsibilities as outlined in the full job description.
The Assistant Property Manager will assist the Property Manager, as directed, in managing GardenWalk of Tahlequah, a 174-unit family living community.
The ideal candidate will have assistant or property management experience, or office management experience.
Candidates with property management experience in low-income housing tax credit, HUD, and rural development are highly sought.
Ideal candidates will have the ability to work in high-stress situations, multi-task, exhibit exceptional attention-to-detail with a high-quality work output performance, excellent customer service skills, and work place reliability.
Candidates must possess the ability to work independently as well as in a team setting, problem-solve, and communicate effectively.
Candidates with the above-referenced experience and skills as well as good employment recommendations with work place longevity will be considered for the top salary of the posted salary range.
Assistant Property Managers are eligible for full-time company benefits after successfully completing the 90-day probationary period and according to company policy.
*Essential Duties and Responsibilities* * Screen all applicants per Tenant Selection Criteria, prior to occupancy approval.
* Complete all Rural Development, HUD, Tax Credit and Belmont Management Company, Inc.
(Belmont), required paperwork for tenant files.
* Transmit all tenant paperwork as required to Belmont’s Corporate Office per pre-determined schedules.
* Collect security deposits and rent and transmit to Corporate and/or to financial institution as designated and is appropriate per pre-determined schedules.
* Verify with utility companies, utilities set up in tenant’s name prior to issuing tenant a key for move-in.
* Enforce all rural development, community rules and regulations strictly and fairly keeping a written record of complains, corrective interviews, issuance of warnings, and file in appropriate tenant files and with corporate as designated.
* Serves “Notice to Quit” to resident in person and by certified mail, ensures eviction takes place and notifies Regional Manager of any issues during the process.
* Identify and assess maintenance issues, completing appropriate work orders for repair, and making appropriate minor repairs if and when maintenance technician is not available; see full job description for list of minor repairs a manager can make.
Contact Belmont Maintenance Technician and/or approved contractor as appropriate.
Keep log of all work orders and log of unit maintenance file, and status of each work order through completion.
* Complete walk-through procedure with resident prior to move-in, documenting any pre-existing flaws in the apartment.
Show each resident the location of water shutoff and circuit breakers.
Explain fire sprinkler system, smoke alarm and emergency system as applicable.
* Complete the walk-through procedure with resident at the time of move-out, documenting any damages, items that will need to be cleaned, noting costs of cleaning, damages, additional charges, etc.
, and deduct cost from the Security Deposit.
Complete all move-out documentation and forms to request Security Deposit Fund according to company policy.
* Accompany exterminating technician in units for mandatory cleaning inspection and complete appropriate forms and notices required per company policy and for tenant notification purposes.
* Perform marketing and community contacts on a monthly basis per the community Affirmative Fair Housing Marketing Plan.
Maintain appropriate documentation of all contacts required per company policy.
* Maintain required level of occupancy, rent collection and expenses as budgeted per community.
Review the current monthly financial statements with District Manager, Vice President of Operations or designated representative.
* Maintain property cleanliness keeping parking lot, breezeways, and grounds free of trash and debris, assist in watering of landscaping in lawns, if required.
* Supervise maintenance of grounds to include but limited to: mowing, edging, fertilization, removal of ice and snow, as required per company policy.
* Supervise the locking and unlocking of the community room and laundry rooms, if applicable.
* Manage appropriate social media and community outreach efforts.
Developing event fliers, ads, and other marketing materials in coordination with and/or with approval of the Marketing Director.
* Conduct and/or supervise clean up of community room after use as assigned.
* Assist with, organize and conduct, and/or supervise community activities and crafts.
* Approve, code, and process community invoices, and provide appropriate paperwork and / or notifications to upper-level management per Belmont policy.
* Assist with, obtain and negotiate, as requested vendor bids and contracts.
* Attend required training as requested.
